Terms of service

Last updated October 14, 2026

These terms are between Verradent LLC, a California limited liability company ("Verradent"), and the dental practice that uses the Verradent application ("Customer") and its authorized staff. By using the service you agree to them on behalf of your practice.

Accounts

Customer is responsible for the users it invites, for keeping credentials confidential, and for assigning roles appropriate to each user's job. Notify us promptly of any unauthorized access.

Protected health information

Verradent will execute a Business Associate Agreement with each Customer before PHI is entered; if the order form and the Business Associate Agreement conflict on PHI, the Business Associate Agreement controls. Customer remains responsible for its obligations as a covered entity, including patient consents and notices.

Acceptable use

  • Use the service only for lawful practice operations.
  • Do not attempt to access data belonging to another practice.
  • Do not probe, scan, or disrupt the service.

Text messages

Customer is responsible for obtaining each patient's consent before texting them, honoring opt-out requests, and registering its texting number with carriers where required. Verradent stops texts to any number that replies STOP.

Artificial intelligence

Some features produce drafts or replies using artificial intelligence. AI output can be wrong. Customer's staff must review clinical notes, claims, letters and messages before signing or sending them, and Customer remains responsible for what it signs and sends.

Data ownership, export and closing the account

Customer owns its data. Customer's owner can download a full export of the practice's data (patients, appointments, charts, notes, ledgers, claims, images and documents) from the application at any time during the term, at no charge.

Customer's owner can close the account in the application. Closing makes the practice read-only at once and prepares a full export, with images and documents included, for the owner to download. Thirty days after the request, Verradent deletes the practice's data from the service, including stored images and documents, unless the owner cancels the closing before then. Verradent keeps the audit log of activity in the account (who did what, and when) after deletion as a security record. Copies in Verradent's encrypted backups expire on the backup schedule. When the term ends some other way, Verradent provides the same export on request within 30 days and then deletes the data the same way.

Customer sets how long it keeps patient records (Settings, Records retention) and is responsible for meeting the retention periods that apply to it. Verradent does not delete individual patient records on its own; Customer's owner can purge records past the period Customer set.

Fees, term, termination

Fees, billing cadence and the initial term are set out in the order form. Either party may terminate for material breach not cured within 30 days of notice.

Warranty and liability

The service is provided "as is" to the extent permitted by law. Verradent's aggregate liability is limited to fees paid in the 12 months preceding the claim. Verradent is not a substitute for professional clinical judgment.

Governing law

These terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules. The state and federal courts located in Riverside County, California have exclusive jurisdiction over any dispute arising from them.
